Client Terms & Conditions

Key Terms & Definitions

  1. Go Book It: Refers to the platform operated by Go Book It, connecting event planners and suppliers.
  2. Client: An individual or entity using Go Book It to request quotes and book event suppliers.
  3. Supplier: An individual or entity listed on Go Book It offering services for events.
  4. Quote: An estimated price provided by a supplier for their services, based on the client’s requirements.
  5. Booking: A confirmed arrangement between a client and a supplier for the provision of services, secured by a deposit.
  6. Deposit: An initial payment of 10% of the total booking amount, paid by the client to Go Book It to secure a booking.
  7. Balance: The remaining amount due for the booking after the deposit, to be paid directly to the supplier by the client.
  8. Force Majeure Event: Circumstances beyond the control of either party that prevent the fulfillment of a booking, including but not limited to extreme weather conditions, government actions, war, terrorism, riots, strikes, epidemics, pandemics, and acts of God.
  9. Cancellation: The termination of a booking by either the client or the supplier.
  10. Spam: Unsolicited or irrelevant requests or communications sent to suppliers or Go Book It employees.
  11. Codes of Good Practice: Guidelines set by Go Book It that suppliers are expected to adhere to, ensuring high standards of service and professionalism.
  12. Payment Terms: Conditions under which payments are to be made, including deadlines and methods of payment.
  13. Dispute: A disagreement or conflict arising from a booking, involving either the client and the supplier or the client and Go Book It.
  14. Refund: The return of money paid by the client, typically in the event of a cancellation or dispute.
  15. Stripe: The payment processing system used by Go Book It to handle deposit payments.
  16. Account: A registered profile on Go Book It, used by clients and suppliers to manage their interactions and transactions on the platform.

General Terms:

  • Go Book It serves as a platform connecting event planners and suppliers and does not function as an agency, representing no party in any capacity.
  • Go Book It is not the supplier and are not responsible for any actions taken by the supplier. We do not own, manage or have authority over our suppliers and venue managers, however we do expect them to adhere to our Terms and Conditions and our Codes of Good Practice. 
  • Go Book It shall not be liable for any disputes arising between clients and suppliers. Any such disputes should be resolved directly between the parties involved.

Quote Handling:

  • You must not overload the site with unnecessary requests or spam any of the suppliers or employees unnecessarily. 
  • While we have a vast amount of suppliers based in multiple locations nationwide, in some areas we may not have a supplier in your location and will not be able to provide any suppliers/quotes for your search. This is not the fault of Go Book It. f you are unable to find a supplier in your area, please contact our support team on team@gobookit.co.uk
  • Clients understand that by creating an account and submitting a quote request does not guarantee a suitable supplier will be available. Availability is subject to change depending on the suppliers availability.

Pricing:

  • Go Book It are unable to set any prices, offer any discounts, special deals or offers on behalf of the supplier. All prices for the services are determined directly by the supplier in the form of quotes. 
  • If an alternative price is agreed, please inform a member of our team before continuing with the booking. This price will then be cross checked with the supplier in question before the quote is updated.

 

Booking Confirmation:

  • A deposit of 10% is required to secure a booking. This payment should be sent to Go Book It.
  • Once the deposit has been received by Go Book It, you will receive a booking confirmation detailing the remaining balance, payment terms and banking details of the supplier. This will be sent within 2 working days.
  • Aside from the initial 10% deposit, all remaining monies should be transferred directly to the supplier.
  • If, in the rare circumstance the supplier is no longer available between you receiving the quote and sending the deposit, Go Book It will refund the deposit to you. 

 

 

Cancellations:

  • When you make a booking through Go Book It, you accept and agree to the cancellation policy set out below in addition to any terms and conditions that your Supplier may apply to your Booking.
  • Go Book It reserves the right to cancel bookings and issue refunds.
  • If a client needs to cancel their booking, they can do so by emailing our team as soon as possible.
  • Cancellations made after a booking is confirmed must be verified by both supplier and client in order to go ahead. 
  • If a supplier cancels a booking, the client will receive a full refund of the money paid which includes deposit. 
  • We require the supplier to refund the deposit to us. Suppliers have 7 days in which to refund this. If the deposit is not returned to us within 7 days, Go Book It will refund this on behalf of the supplier in line with our policies.
  • Any other money will be returned directly from the supplier.
  • In cases where a supplier owes money to refund the client, this is expected to be returned within 7 working days. Their profile will be suspended if debt owed is not paid after 7 days.
  • In case of client cancellation, you will need to refer to the supplier terms and conditions. Refunds due to client cancellations are subject to supplier payment terms.
  • In the case of the supplier cancelling and a replacement needed to be found, the client support team will assist in looking for an alternative. 
  • On extremely rare occasions, a booking may be cancelled due to a “Force Majeure Event”. A Force Majeure Event is a cancellation for reasons beyond either party’s reasonable control including (but not limited to); extreme weather conditions, government actions, war, terrorism, riots, strikes, epidemics or pandemics, and acts of God. Where a Force Majeure Event has taken place, the cancellation policy above no longer applies and you will not be entitled to any refund and the cancellation terms are null and void. Subject to the other provisions of this clause, neither party shall be in breach of this agreement nor liable for failure to deliver services or for a delay in services for its obligations under this agreement if and to the extent that such delay or non-delivery is due to a Force Majeure Event.

 

Payments:

  • All deposit payments made through the website to be done through stripe. 
  • Balance payments to be made directly to the supplier. 
  • Go Book It will not be responsible for any payments between the customer and supplier. 
  • In case of payment disputes, Go Book It will assist in mediation but will not be responsible for resolving the dispute.

 

 

  • Disputes & Refunds:
  • Disputes regarding bookings should be reported promptly to our support team.
  • While assistance is provided, resolution may not always be possible, and we advise direct communication to resolve disputes.
  • If the event has gone ahead and the supplier has attended, we are unable to offer any refund.
  • If you feel you are eligible for a refund this must be taken up with the supplier in question, Go Book I will offer assistance in doing so where deemed appropriate. 
  • Disputes are handled individually, with assistance offered within our capabilities.
  • Accounts may be removed if deemed unfit by our standards.

  7. Balance: The remaining amount due for the booking after the deposit, to be paid directly to the supplier by the client.
  8. Trusted Supplier Policy: A set of guidelines and standards that suppliers on Go Book It are expected to adhere to, ensuring high-quality service and professionalism.
  9. Profile: The public-facing information and images about a supplier listed on Go Book It.
  10. Genuine Client: A real, verified client who has used Go Book It to book a supplier for their event.
  11. Fraudulent Review: A false or misleading review posted on the platform, not based on an actual booking or experience.
  12. Public Profiles: The profiles of suppliers on Go Book It that are visible to clients and the general public.
  13. Content: Any information, images, text, or media submitted by suppliers to the Go Book It platform.
  14. Stripe: The payment processing system used by Go Book It to handle deposit payments from clients.
  15. Payment Terms: Conditions under which payments are to be made by the client to the supplier, including deadlines and methods of payment.
  16. Cancellation: The termination of a booking by either the client or the supplier.
  17. Force Majeure Event: Circumstances beyond the control of either party that prevent the fulfillment of a booking, including but not limited to extreme weather conditions, government actions, war, terrorism, riots, strikes, epidemics, pandemics, and acts of God.
  18. Invoice: A bill issued by Go Book It to a supplier for refunding the deposit in the event of a supplier-initiated cancellation.
  19. Strike: A formal warning added to a supplier’s account for actions deemed unacceptable according to Go Book It policies. Three strikes result in account termination.
  20. Account Termination: The removal of a supplier’s profile from Go Book It, preventing them from offering services on the platform.
  21. Dispute: A disagreement or conflict arising from a booking, involving either the client and the supplier or the client and Go Book It.
  22. Refund: The return of money paid by the client, typically in the event of a cancellation or dispute.
  23. Membership: The status of a supplier being registered and active on Go Book It.
  24. Professional Conduct: Behavior expected from suppliers that reflects high standards of service, reliability, and client care.
  25. Qualifications, Insurance, Experience, and Licensing: The necessary certifications, coverage, background, and permits required for suppliers to offer their services legally and professionally.
  26. Reselling Leads: The prohibited practice of passing on client inquiries or quote requests to other suppliers for a fee or other benefit.

General Terms:

  • Go Book It serves as a platform connecting event planners and suppliers and does not function as an agency, representing no party in any capacity.
  • While not acting as representatives for suppliers, you are expected to uphold our standards and policies. Thus, compliance with our Terms and Conditions and Trusted Supplier Policy is mandatory.
  • Suppliers understand that registration on the website and sending quotes to clients do not guarantee visibility or work. However, prompt responses within 24 hours to quote requests increase the likelihood of securing bookings.
  • Failure to respond to quote requests within 24 hours may result in reduced visibility or potential account penalties
  • Failure to maintain an updated profile may result in account termination, requiring at least one image and current information.
  • Permission is granted to modify or augment public profiles at our discretion using information available on your ‘official website’ listed on the platform.
  • Reviews are only accepted from genuine clients; posting false reviews will lead to account termination. However, you may dispute fraudulent reviews by contacting us.
  • Suppliers agree to respond fully and truthfully within 48 hours to any inquiries from Go Book It.
  • Content submitted to the platform grants us the right to use it for business purposes across various media.


Quote Handling:

  • Direct communication or sharing contact details with clients before booking confirmation is prohibited. Any such requests should be reported to us.
  • Soliciting clients outside of Go Book It or advising against using the platform is strictly prohibited.
  • Reselling or offering leads to other suppliers is forbidden.Any violation of this policy may result in immediate account termination.
  • Quotes provided should include all relevant costs. Any necessary adjustments should be communicated to our team before client booking.
  • Once a client makes a deposit, the booking price cannot be increased unless the client’s requirements change.


Booking Confirmation:

  • Go Book It charges clients a 10% deposit to book services, covering our commission. Suppliers receive no immediate payment; adjustments to payment terms should be communicated to us.
  • Payment terms are uploaded during profile setup, with the option to edit by contacting us on team@gobookit.co.uk
  • Remaining balances are settled directly between the supplier and client; Go Book It does not handle payments.
  • Upon receipt of the deposit, suppliers must confirm the booking date and make it unavailable for other clients.


Supplier Standards:

  • Representing your company on Go Book It requires professional conduct, providing high-quality service, and understanding client needs.
  • Failure to attend events without notice may lead to profile termination.
  • Finalising payments and event details with the client at least one week before the event is mandatory.
  • Compliance with relevant qualifications, insurance, experience, and licensing is necessary.


  • Cancellations:
  • Go Book It reserves the right to cancel bookings and issue refunds.
  • If a supplier cancels, the deposit is refunded to the client by Go Book It, and the supplier is invoiced accordingly. 
  • The supplier must pay the invoice within seven working days. Late payment may result in account suspension or termination.
  • Suppliers must refund clients the remaining monies paid within three working days of cancellation.
  • Cancellation within 21 days of the event incurs an additional fee of 10% of the total quote, with profile suspension until paid.
  • Refunds due to client cancellations are subject to supplier payment terms.
  • Non-attendance at events without prior notice may result in account suspension or termination.
  • If a client cancels a booking, it is up to the supplier if they issue a refund subject to the individual supplier terms. 
  • On extremely rare occasions, a booking may be cancelled due to a “Force Majeure Event”. A Force Majeure Event is a cancellation for reasons beyond either party’s reasonable control including (but not limited to); extreme weather conditions, government actions, war, terrorism, riots, strikes, epidemics or pandemics, and acts of God. Where a Force Majeure Event has taken place, the cancellation policy above no longer applies and you will not be entitled to any refund and the cancellation terms are null and void. Subject to the other provisions of this clause, neither party shall be in breach of this agreement nor liable for failure to deliver services or for a delay in services for its obligations under this agreement if and to the extent that such delay or non-delivery is due to a Force Majeure Event.

Payments & Membership:

  • Suppliers must maintain accurate billing information.
  • Go Book It reserves the right to adjust prices and services, with prior notification.
  • The 10% booking fee is non-negotiable and deducted automatically from the deposit.
  • Membership cancellation is possible at any time, except when upcoming events are booked through the platform.


Disputes & Refunds:

  • Disputes regarding bookings should be reported promptly to our support team.
  • While assistance is provided, resolution may not always be possible, and we advise direct communication to resolve disputes.
  • Refund decisions for events proceeding as planned are at the supplier’s discretion.
  • The 10% deposit is non-refundable, even in cases of client cancellation, though direct refunds are subject to supplier terms.
  • Disputes are handled individually, with assistance offered within our capabilities.
  • Accounts may be removed if deemed unfit by our standards.

Strikes

  • If a supplier commits an action that is not acceptable as per the Go Book It policies, a strike may be put against their account
  • In the event a supplier reaches 3 strikes on their account, the supplier profile will be removed from Go Book It and will not be allowed back on.
  • The decision of whether a strike is added to a supplier account is always in the hands of Go Book It and should be seen as a warning.
  • If an action is committed that goes beyond what would be considered to be strike worthy, this may result in account suspension or termination.
  • Each dispute will be taken case by case and will be decided by Go Book It if a strike is added.
